Your details, plainly handled.
This page explains what we collect, why, and what we do with it. The short version: we collect what we need to run your hire, we never sell it, and you can ask for it to be deleted.
What we collect
When you send an availability request we collect your name, email address, mobile number, postcode, hire dates, and anything you put in the notes. We also work out the distance from our depot to your postcode using postcodes.io, and we record technical basics (a hashed IP address and browser type) to prevent abuse of the form.
Why we collect it
To answer your request, schedule delivery, take payment and run the hire. That is a contract with you, which is our lawful basis. We contact you by email and, if you give us a mobile number, by WhatsApp or SMS about your hire. We do not send marketing unless you have asked for it.
Where it lives
Requests are stored in our booking system, hosted on Cloudflare's infrastructure, and mirrored to our operations sheet in Smartsheet. Emails are sent through Resend. Payments are handled by Stripe: card details go to Stripe directly and never touch our systems. Each of these providers processes data under their own agreements with us.
How long we keep it
Hire records are kept for six years for tax and legal purposes, then deleted. Requests that never become bookings are deleted within twelve months. Water-care logs required by health and safety guidance are kept for five years.
Your rights
You can ask for a copy of what we hold about you, ask us to correct it, or ask us to delete anything we are not legally required to keep. Email hello@soakspeed.co.uk and we will sort it within a month. If you are unhappy with how we have handled your data, you can complain to the ICO at ico.org.uk.
Cookies and analytics
The site uses privacy-respecting analytics to count visits and see which pages are useful. The booking form saves a draft of your answers in your own browser's storage so you do not lose them if you navigate away; that data stays on your device until you send the form or clear it.
